Litigation Secretary - Labor & Employment

About the Role
A premier international labor and employment law firm is seeking experienced Litigation Secretaries to join our La Jolla (UTC) office. This role is critical in supporting attorneys through all phases of state and federal civil litigation, ensuring accuracy, efficiency, and exceptional client service.
We are hiring multiple candidates and are open to both senior-level professionals and strong junior candidates who demonstrate teachability, flexibility, and a willingness to learn.
Key Responsibilities
- Format, prepare, and finalize legal documents, including pleadings, briefs, correspondence, and discovery materials
- Prepare document shells and ensure filings comply with California and federal court rules
- File legal documents electronically in state and federal courts (e-filing required)
- Maintain litigation calendars, including deadlines, hearings, and appointments using Outlook and Milana
- Perform docketing functions and track critical litigation deadlines
- Proofread all documents to ensure accuracy and completeness prior to filing or distribution
- Maintain and update client files within document management systems (iManage, NetDocuments preferred)
- Coordinate depositions, court reporters, videographers, and court hearings
- Schedule hearing dates with court clerks
- Prepare Tables of Contents and Tables of Authorities (Best Authority or similar tools)
- Enter, review, and revise attorney timesheets with appropriate litigation coding
- Prepare expense reimbursements and mileage through Concur
- Arrange attorney travel as needed
- Review vendor invoices and submit for payment
- Provide professional and responsive administrative and phone support
Required Qualifications
Minimum of 5 years of litigation secretary experience (civil litigation required)
Experience supporting state and federal civil litigation cases from inception through resolution
Strong knowledge of California court rules and procedures
Proficiency with:
- E-filing systems (state and federal, including PACER and ECF)
- Docketing and calendaring processes
- Legal document preparation and formatting
Strong technical skills, including:
- Microsoft Office (Word, Outlook, Excel, PowerPoint)
- Document management systems (iManage, NetDocuments preferred)
- Legal software such as LexisNexis, Aderant Milana (CompuLaw), Best Authority, and Concur
Experience supporting discovery processes and full litigation workflows
Excellent proofreading and attention to detail

- College degree (not required)
- Experience in labor and employment litigation

Work Environment
- Hybrid schedule: 3 remote days and 2 in-office days per week
- First month is fully onsite for training
- Remote days may be selected but must remain consistent
- Office located in La Jolla (UTC), San Diego
- Hours: Monday through Friday, 8:00 AM to 5:00 PM
Compensation and Benefits
- Salary range: $85,000 - $115,000
